Duplicate payments are not an accounts payable failure. They are a volume problem: nobody can read forty thousand invoices a quarter carefully, so a percentage of them go out twice.
What the agent does
Every inbound invoice is matched against its purchase order and its goods receipt, then against the contract that governs the order — payment terms, agreed rates, volume breaks. Mismatches are held rather than routed, with the specific line and the specific clause quoted.
- Duplicates caught on supplier, amount, date proximity and reference distance
- Rate variances checked against the contract, not the last invoice
- Held items appear in the buyer's queue with a one-line reason
The number
Across the first four customers, £1.2m of duplicate and over-rate invoices were held before payment in the first two quarters. None of it was fraud. All of it was volume.
